Communication for modern business - The old way

 Modern business is nothing like we have ever seen before, as, over the last five years, it has become unrecognisable in comparison to the traditional workplace. This is predominantly due to the world’s ever-increasing reliance on technology and the new ways of working that the reliance has brought with it. It has become apparent to everyone that technology will continue advancing and creating new ways of working for organisations worldwide – the key is to ensure that your team are using that technology to its full potential.


You can make all the changes you like to any workplace but there is one constant that none could survive without – communication. Communication is the lifeblood of every organisation around the world, because without efficient ways to communicate - not just with customers but also in-house amongst your team – you stand no chance of running a successful organisation.


The methods of communicating in the modern world are many. Let’s take a look at some of the more familiar ways and then delve into the future of business communications.


Communication – The old way

Email

Since its release in the 1970’s Email has been an integral part of communication for businesses around the globe. This long life is rare for tech, proving that it really did revolutionise communications forever. Never before was there such a way of connecting your team with others all over the world – but can Email keep up in today’s working environment?


SPAM! One of Emails biggest problems. Yes, spam filters are improving but it is still apparent that the majority of Emails most of us are receiving are of no value to us – and in the modern workplace the time needed to sort through them is simply too long. Business just doesn’t have time for you to scroll through countless ads to find the Emails that enable you to complete your important work.


Another particularly apparent downside of Email is the time that is taken to convey messages, when your team can spend hours sending and receiving messages. This wasted time can have a serious effect on the amount of productivity that is achievable each day.


The Telephone

The telephone – as we all know – is just as important now as it always has been in regard to business communications. The modern world offers many alternatives to the telephone, but it still stands strong at the very peak. There is nothing quite as powerful - when communicating in the workplace – as the tone of voice you use, and the language you adopt, when trying to talk business with an existing or potential client. Using these methods often gets better results than written text in an Email. Microsoft Teams and Zoom offer good quality alternatives, but for a conversation that needs to happen right now the telephone is the first and best choice for most.


We are not recommending that business owners get rid of their office telephones and use the alternatives alone. We are, however, recommending that you give your current phone system a modern makeover.


Landline technology is very dated and no longer capable of being productive in the modern world. It is essential – with modern business being as fast-paced and constant as it is – that you are available to be contacted at all times. Modern clients are fickle - if they can’t get hold of you then they will take their business elsewhere, or, at the very least, be starting their relationship with them on the back foot. The telephone acts as the lifeline of your communications that keeps you, your customers, and your suppliers in contact, so, to have a chance of reaching the levels of productivity and collaboration between the different parts of your business that you need in order to thrive, it is important that you are always contactable. Remember, modern customers don’t care what your reasoning is for being unavailable – they will simply take their business elsewhere.


Meetings

Meetings no longer consist of you and all your employees centred around a cramped desk. Meetings conducted in this way have always posed problems – this may be why they are often not as common as would be beneficial. It can be a near impossible task – depending on the size of your organisation – to find a date and time that suits everyone, and good luck with getting your team to come in on their day off. In recent years - with the right technology in place - businesses have adopted a new solution that avoids all this time and effort normally spent on organising a meeting.
